Signing in and getting approved

Every person has one AU One account. New accounts wait for approval before they see anything.

Sign-in page (Home before you sign in)

  • Continue with GoogleSigns in with the company Google account. Same rules as email sign-in afterwards.
  • Sign inEmail + password. “Forgot password?” sends a reset link; the eye icon shows the password while typing.
  • Create an accountFull name, first/last/middle, preferred name, email, password, phone and employee ID (optional). You must tick the Privacy Policy and Terms of Use boxes (the consent is recorded with its version).
  • Resend confirmation email · Back to sign inFor an unconfirmed email address.
  • Check again · Sign outShown while the account is “Awaiting approval” or “Access not granted”. A Head approves it in Access Management; the page refreshes itself once approved.

Pending accounts are listed for approvers on Home (“approvals need review”) and in Access Management → People Directory with Approve / Reject. Approval also assigns the person’s roles and department; nothing opens until that happens.

Home (index.html) — the launcher

Home is where every module is opened from and where system-wide status lives. What you see on it is exactly what your grants allow.

Header

  • Search AU OneFinds modules, pages, projects and people by name and jumps there.

Items you are not granted are hidden. The same list is the phone drawer behind the menu button. On phones the bottom tabs are Home · Modules · Search · Profile.

Hero and live numbers

  • Design projects · Ongoing construction · Office employees · On-site workers — live counts from the Design registry, the Construction tracker, the office employee master and the crew roster.
  • Slideshow — project photos with a caption; dots and ‹ › move between slides. Owners see Add slide, ↑ ↓ (reorder), Cancel, Save; slides are stored in configuration (home.hero.slides), so adding one needs no deploy.
  • Approvals need review — appears when signups are waiting; links to Access Management.

Modules grid

One card per module you can open: Construction System, Design OKR, Finance, HR Attendance, Leave, User Approvals (Access Management), Access Management, Worker List, PIC & Head Evaluation, BOM Generator, Estimator, AU One Studio, Incentive Tracker, Request P.O, Construction Manual, Worker Evaluation. A “NEW” pill marks a recently added module. Cards are registry-driven: registering a module in Access Management adds its card automatically. What’s in this app opens this guide.

Right rail (desktop)

  • Profile card — photo, name, role, email, position, department, employment, status, access, roles, member since, and your HR record when you are an office employee (classification, hired, probation, regular since, tenure, leave balance, T-shirt size). Edit profile › opens Profile.
  • What’s new — release notes for the app, newest first (two open, older folded). Fed by the home.patchNotes configuration row.
  • System status — measured once per open: API latency, database health, cloud sync.

Realtime · Database · Cloud sync · Storage pills, the version number (for example v723), Privacy & Terms. Check for updates → Reload fetches the newest version of the app; AU One is an installable app (PWA) that keeps working offline for pages you have opened and updates itself when a new version is published.

Access Management (approvals.html — “Organization Center”)

The one place that decides who can open what. Everything in AU One is gated by these registries; the app never hardcodes a person or a role.

People Directory

Every account with avatar, position and status chip. Approve / Reject pending signups. Opening a person shows:

  • Account — status (active, pending, suspended), Suspend / Reactivate, registered and last-seen dates.
  • Organization — department, Reports to, team, position, employment type and status, date hired; Save organization.
  • Roles & permissions — one or more roles from the registry plus per-person allow/deny of modules, sections and permissions (a “restrict” mode makes only the explicit allows count). Save changes.
  • Assigned projects — the Construction/Design projects this person is on; Assign opens the assignment dialog (Cancel / Save).
  • Office employee recordLink account / Link to existing employee… / Set primary / Unlink ties the login to the HR master record (employee №, legal name, position, employment, hired).
  • Contact — email, phone, employee ID.

The registries (roles, modules, sections, permissions)

The role editor shows two chip rows per role: System permissions and Modules (each with View / Edit / Full pills), plus per-section grants inside a module. Explicit-grant sections (for example Leave › Manage leave) are never inherited from a module grant; they must be ticked on purpose.

Modules and sections — every module below lists its sections; a section grant can be View, Edit or Full. The full list is in Configuration reference.

Money visibility: contract, expense and receivable figures on Construction and Finance require view_construction_financials (Design figures: view_design_financials). People without it see blank money fields on purpose.

Profile, Legal and Developer pages

Your own account — photo, names, roles and assigned projects — plus the Legal and Developer pages.

Profile (profile.html)

Your photo (required), names, phone, employee ID, department, roles and assigned projects; tabs Projects · Tasks · Reports · Profile. Buttons: Edit / Save changes / Cancel, Add photo now, Add details, Change password → Update password, theme Dark / Light, text size Normal / Large, Privacy Policy & Terms of Use, Log out. If someone else edits your profile while you are editing, the page tells you and reloads the newer copy.

Notifications & sounds (shared across every page) — the bell shows unread reminders and approvals; a new message plays one short tone, an approval or reminder one bell, a completed Design key result one success sound, never twice for the same event and never for old items on page load. In Profile → Account settings: Device notifications (enrol this device for push), Notification sounds, Volume, Notification preview (Generic hides names and amounts on the lock screen), Preview sound and Send test notification. Owners set the organisation defaults in ⚙ Configure → Notifications & Sound (master switch, push, sounds per area, tones, volume, quiet hours, default preview); an area the Owner turns off stays off for everyone.

Private messaging (Messenger, direct conversations) — open a one-to-one chat and tap Turn on in the private-messaging bar. Each person creates a security identity once (a 64-character recovery secret is shown a single time; nobody can reset it), you compare fingerprints in person or on a call, and from then on everything in that conversation is end-to-end encrypted: text, photos and PDFs (picker, Ctrl+V or drag-and-drop, preview before Send), payslips with pay period and corrections, and Opened / Acknowledged receipts. The server keeps only ciphertext and refuses plain messages for that conversation; the inbox shows “🔒 Private message”. Chat heads on phones are bigger, can be dragged to either edge, and dropping one on the ✕ hides it.

Tabs Privacy Policy · Terms of Use · Your Rights · Manage. Anyone can read the policy and terms with their version and effective date. Manage manage_legal edits company name, effective date, versions, contact details and the policy/terms sections (+ Add section, Save changes); a new version re-asks consent at next sign-in.

Developer Settings (developer.html)

For the maintainer only. Initialize Developer Mode (one-time setup code), Unlock / Lock Developer Mode with a separate developer password, session auto-expiry, Change Password, the module list, and an audit log of developer actions. Developer Mode temporarily authorizes everything for that login; it is logged and expires by itself.

Construction System (construction.html)

Who: Construction Head, PIC, Foreman, Site Engineer, Finance (read) · sections construction.tracker construction.petty construction.siteform construction.estimator construction.messages construction.forms construction.share construction.site_form.share

The largest module: estimating, the weekly and monthly tracker, budgets, petty cash, site forms and schedules for every construction site. PICs see their assigned projects; the Head sees all of them view_construction_all.

Landing and hub

The landing greets you and shows Continue session, View dashboard, Fill now (a report that is due), Install app, New project, Refresh, Print / PDF, Messages. The hub cards open each area: Estimate, Tracker · Your project(s) (or All projects for the Head), Head Dashboard, Petty Cash, Site Form, Reports, Analytics, Forms, Messages, Settings. Cards marked Soon are placeholders. A first-run tour (Next · Back · Skip · Got it) explains the layout.

Projects and assignment

  • + New projectCreates a project from the Estimator (name, client, dates). Projects live in the shared registry, so Design, Finance and Incentive Tracker see the same names.
  • Assign PICHead only. Assigns the Project-In-Charge and team; assignments drive who sees the project everywhere.
  • Delete project · Fix cloud duplicatesHead only; deletions are guarded and duplicates from older syncs can be merged.
  • Share view-only linkCreates a read-only link for a client or partner: This section only or Whole project, Generate link, Copy, Open, Revoke. Links are registered in configuration and can be revoked at any time.

Construction Tracker (tabs)

The tracker is one project document per site, edited in place and synced to the cloud (three-way merge, so two people editing different cells never overwrite each other). Tabs across the top:

  • Construction Tracker — per project: setup (client date, internal date, catch-up date, contract, downpayment, additionals, received, opening expense), monthly progress and billing, weekly expenses. Buttons: Set date, + Add Week N, + Add materials line, + Add labor line, + Add payment, Expand all / Collapse all, Print billing (PDF). A Monthly accomplishment checklist and the Projected cash-out forecast from Estimator sit under each project.
  • CEO Dashboard — company-wide: total contracts, billings, expenses, profit and progress across every project.
  • Detailed Weekly Budget — every Friday each PIC logs what they will buy next week (site, supplier, amount, needed/due date, payment mode, bank, account, status). Finance funds it. Rows: + Add request, status chip (Under Approval → Approved → Done), ✓ Approve, ✓ Done, flag 🚩, Send, Print · Finance to Fund. Weeks lock automatically on the configured day/hour (dwb.autoLock, dwb.lockDay/lockHour/lockMinute, dwb.lockAdvanceWeeks); the Head can 🔓 Unlock / 🔒 Lock now and ⚙ Configure request detail fields (custom fields on each request, with file uploads and comments).
  • Monthly Expense — the weekly budget rolled up per project per month.
  • Quarterly Cons Net — projected versus actual billing and expenses per month, summarised into per-project profit/loss for the quarter.
  • Construction Head — the Head’s consolidated view with every project’s money and progress.
  • Tariff — tariff items per project (+ Add tariff item, Expand/Collapse all, Clear areas, Print / PDF, Excel).
  • Projected P.O — purchase orders expected from the estimate.
Money in the tracker follows the Setup tab of each project (single source of truth). Historical seed figures for older projects are loaded from a private table only financial roles can read; nobody else’s screen carries them.

Head Dashboard and portfolio

Construction Head dashboard lists every project with health bands. Buttons: + New project, ↻ Refresh portfolio, Print / PDF, ▦ Grid / ☰ List, Select all / Clear, Delete, Open full estimate. Executive overview, Project health, Key insights and Analytics (site progress for the year, All sites / one site, Tiles / Split) summarise it. Command Center shows account, ₱/sqm, working days, materials and labour per project. Project Dashboard tiles can be Arranged (Done arranging, Reset layout, Jan→Dec / Dec→Jan).

Petty Cash

Cash advances released to PICs and their liquidation. All funds → one sheet per fund: + Start new, Print liquidation form, Delete this sheet, + Add release to PROJECT / OTHERS, Manage projects, per-project quick totals, bank QR (Upload bank QR, Replace, Delete) so a PIC can be paid by scan. App controls: sync On/Off, Import latest figures from the Tracker sheet, Reset all to defaults. Who sees what lists which roles see this fund. Petty cash is also visible to Finance under Petty Cash Liquidations. Default advance and fund names are configuration (petty.defaultAdvance, petty.funds).

Site Form, schedules and manpower

  • Site Form — the site’s weekly/monthly task sheet with Location, Qty and Man-power per task, a calendar (‹ Today ›), This week / This month, per-week blocks, Award PDF, Site Race (leaderboard across sites; Save as PDF / Print, Download JPEG, Edit names) view_construction_race, and Share view-only link.
  • Monthly schedule — this month’s targets by trade: + Add trade, + Add more task / extra task, per-week rows, Use N workers, Open checklist ›, Copy link, Print. Approval chain: Send backApprove / Approve all weeksReopen.
  • Planned schedule+ Add to plan, 🔒 Lock this schedule / 🔓 Unlock for editing.
  • Portfolio schedule — all sites: By site / By trade, Focus this month, Show all months, earlier/upcoming toggles, “Same trade, different sites”.

  • Compliance — what is due: “Weekly / monthly report due”, + Log this week’s expenses, Nothing spent — mark done, ✓ Mark this week/month done, Reopen. A report that is due is also offered on the landing (Fill now). Due hour, grace days and monthly mode are configuration (comp.*).
  • Sticky Notes (Kanban) and the phone Tools menu (Site Form, Sticky Notes): personal boards with Add, Archive, Restore.

Progress Stories, photos and messages

Stories: + Add update posts a site photo with a caption to the project feed (seen by everyone on the project). Photos per project and per perspective: Add photo, Add perspective photo, Change, List / Grid, sizes S M L. Messages inside Construction are the platform Messenger (see Messenger).

Reports and printing

Every table has Print / PDF and Excel; reports offer Portrait / Landscape. Import figures lets the Head import project figures from the company sheet (preview → confirm); Explainers and Personalize (theme, notifications Turn on, team default look) are under Settings.

Estimator (estimator.html and inside Construction)

Who: every department for their own projects; Construction for project estimates · sections estimator.setupestimator.admin

A trade-by-trade cost estimator that produces materials, labour, workers, schedule and a Bill of Quantities. It works offline and saves projects on the device; Construction projects also sync to the cloud.

BOM Generator (bom/index.html)

A bill-of-materials and costed take-off tool by trade, with a schedule and progress billing. Each estimate is a document owned by its creator; Heads and admins can see all.

  • Projects / Project Setup — create an estimate, link it to an ERP project, set client and dates.
  • Trades & Takeoff — quantities per trade from the trade database; Materials prices; Markups & Margins for internal versus client cost.
  • Schedule / Gantt and Progress Billing — timeline and billing milestones from the take-off.
  • Reports & Print — printable BOM and summaries; Trade Database and Settings hold the reusable catalog.
Saving is protected against two devices overwriting each other: a save must carry the next version, a stale save is refused and the newer copy is re-read; ownership only changes through an explicit transfer; a delete that fails offline is retried later. Live updates arrive as tiny private signals, not full documents. Open BOM from Home, not from a file folder.

Design OKR (design.html)

Objectives and key results for every design project, with the weekly money sheets the design team runs.

  • Overview — “N design projects, one scorecard”: All / In progress / Done filters, activity rings, the Timeline and Calendar of dated milestones, Phases.
  • Projects — each project card: phases and weeks (‹ › week navigation, Set date), PROJECT SPECIFICATIONS (general conditions, scope of work, site construction, concrete and masonry, metals, carpentry and joinery, finishes, roofing, painting, plumbing and electrical fixtures), assign designers (Assign), Create Construction project? hand-off, comments.

Invoices, expenses, collections and cash flow, plus read-only projections from Construction and Design. Every tab is a section grant, so Finance can be opened partially.

First-time setup (“Supabase setup — run once”) is a checklist shown only when the Finance tables are missing; on the live system it is done. Records are attributed to a project so department reporting works.

Request P.O (procurement.html)

Purchase-order requests, materials, tools and the tool audit for every site.

  • Request (P.O) — purchase-order requests from sites. Requester: + New request (site, items, supplier, amounts, attachments up to 3 MB PDF/images), Send, Request edit, comments, Proof (attach and view the signed P.O at full size), Print. Approver (Head): Approve, Reject, Reopen, Edit, Delete. Views: By site (one column per site, sites with work waiting first) or List; Show all requests; a request keeps its reference (for example PO-7B13EE02) and survives reloads. Live updates never repaint over a form or thread you have open.
  • Materials and Tools & Equipment — the catalog by trade and category with filters (Choose a trade / category / Filter by type) and unit prices used by the Estimator.

The construction quality library: inspection items, test methods and acceptance criteria per trade.

Time In / Out

  • Time In · Time OutOpens the camera in the same tap (📷 Take Photo), takes the GPS fix underneath, stamps the punch the moment the photo is taken and saves it on the phone; it is sent immediately, or when the connection returns — recorded at the captured time. Outside the office geofence the app offers a site visit punch with purpose and proof photo. Confirmation: “✓ Time In recorded at 7:58”.
  • Explain my late (ask my head to excuse it)Files a late-excuse request with a reason.

Approvers & types page

Leave approvers: rules by scope (everyone / department / position / employee) and approver (person / role / the employee’s manager) in steps; Add rule, Enable/Disable, Delete. Leave types: Archive / Restore, delete when unused.

Automations: filing a request notifies the step’s approvers; a decision notifies the requester and the HR roles configured in Attendance → Settings → Leave; withdrawals notify the approvers. Balances are computed on the server from entitlements and the ledger; an approver’s own balance is never used.

Payroll & Payslips (hr_payroll.html)

Cut-off payroll built from attendance, the payslips it sends, and the rules that compute them.

  • View — pick a cut-off (or custom range) and Load the attendance summary per employee (days, late, overtime, absences) — this is the input to payroll.
  • Payroll — the employee list for the batch: Attach payslip (paste an image with Ctrl+V, drag it in, or Choose image; Change / Remove), Send all (N) delivers every attached payslip privately to My Payslips and by email when the employee has a verified payroll email. Per-employee tools: Compensation (pay basis monthly/daily/hourly, rates, regular hours, effective date), Tax profile (region, wage order, statutory daily minimum), Overrides (Apply override to a component with reason), Explain calculation, + Manual payslip (exception) (earnings/deductions rows, reason required, audited).
  • Payslips — every payslip: View, Edit, Send Payslip, Send Notification / Resend, Email PDF / Retry Email, Void, Send All Ready Payslips.
  • My Payslips — the employee’s own payslips; View attachment, Print / save.
Statutory rules (SSS, PhilHealth, Pag-IBIG, BIR brackets) are versioned data on the server, never numbers in the page. Payroll periods and the attendance policy snapshot are set in Attendance → Settings → Payroll.

Worker List (workers.html)

The site crew roster and the office employee master, with private HR details kept separate.

Worker Evaluation (worker_evaluation.html)

Scores each crew member across five lenses; each lens is scored by that role. The Roster tab lists workers (Add / Edit / Remove worker, position, rate/day); the Evaluation tab shows completed, pending and awaiting evaluations, who is Eligible for Increase, and the Worker Evaluation Report.

PIC & Head Evaluation (pic_evaluation.html)

Who: everyone evaluates the PICs, Heads and Site Foremen they work with; manage_pic_evaluations opens Admin / Summary / Analytics; view_pic_overall_results opens Overall Results

Tabs: Evaluate (choose the person, star ratings per criterion, Save Draft, Submit Evaluation), Admin Dashboard (every submission, Export CSV), Summary, Analytics (how it works, who can participate, rating distribution per role type), Overall Results (weights per criterion, Save Weights). The evaluation period (quarterly) is configuration (pic_eval.period_mode).

AU Incentive Tracker (au_incentive_tracker.html)

Savings-based incentives: when a project’s labour and material spend comes in under the tariff budget, the savings are shared with the team by role, released month by month.

Platform features on every page

What every signed-in page shares: messenger, notifications, search, theme and offline use.

Messenger 💬

The floating chat button on every signed-in page: direct messages and groups (member cap is configuration), photos and files, voice notes (microphone allowed), read receipts, 30-message pages, private media that expires and re-signs itself. Approvers get a Message button on requests to talk to the requester.

Notifications and reminders 🔔

The bell shows reminders addressed to you: leave and overtime/undertime requests filed, advanced, decided or withdrawn; approvals waiting; reminders sent by people with send_reminders. They arrive live (no refresh) and open the right page. Push notifications reach the phone even when AU One is closed: the attendance reminder (“You’re not timed in today”) runs on a schedule for people expected at work who have not timed in, and message pushes are only sent for a message you posted to a member of that conversation.

Online status, realtime and offline

Green dots show who has Home open. Changes made by others appear live where it matters (tracker, procurement, messenger, configuration) through small signals rather than full reloads, which keeps the free database plan within limits. Pages you have opened keep working offline; attendance punches and estimator work are saved on the device and sent later.

Versions and updates

The version number in the Home footer (v723 at the time of writing) advances with every release; the app updates itself and Check for updates forces it. Release notes are in the What’s new card on Home.

Privacy and data

Photos, selfies, payslips, chat media and attachments are stored in private buckets that only authorized accounts can read through short-lived links. Money figures are permission-gated. Consent to the Privacy Policy and Terms is recorded per version. Developer actions are audited.

AU One ERP is Archiunite’s own operating system, built in-house for the company’s design and construction work.
